Maximize Your Workday With an AI Delegation Funnel


 

This week's tip: Replace your tedious tasks with a well-constructed "AI Delegation Funnel."



A delegation funnel is a simple guide that you put your tasks, workflows and processes through, increasing the chance that they become more automated with each step.


Back in 2022, I've used GenAI at work without a funnel and saw mediocre results.


Fast forward 2+ years and my workflows are is 3x faster and run through an intentionally designed delegation funnel.


I want to share mine with the hope that it helps you:

1/ A successful AI delegation funnel begins with identifying tasks


To build an effective AI delegation funnel, you must first identify the repetitive, mundane tasks that are ripe for automation. Without pinpointing these opportunities, none of the subsequent steps in the funnel will be effective.


There are tree categories of tasks that are typically ideal for delegation to AI:

- Tasks that consume disproportionate amounts of time

- Tasks that are repetitive and do not require creative input

- Tasks that are simple yet critical for day-to-day operations



2/ After identifying tasks, the next step is trust-building


After you've pinpointed the tasks to delegate, the crucial next step is to build trust in the reliability and effectiveness of you AI tool. Transitioning from "this tool can perform tasks" to "this tool can perform tasks well and reliably" is vital.


Here are ways to deepen your trust:

- Begin with low-stakes tasks and gradually delegate more significant tasks.

- Regularly review the outcomes of AI-delegated tasks for quality and accuracy.

- Engage with communities of AI adopters to learn best practices and tips.



3/ Trust in AI's capabilities lead to building systems


Once you've built trust in AI's capabilities, the next step is to build systems with these tools.


This doesn't mean they run autonomously, but rather developing an understanding of how they can be best chained together to a system within your specific context.

Building AI systems means the tools become a seamless part of your daily routines and can be followed step by step.



4/ Streamlining work to AI becomes intuitive


Think about the journey you've taken to integrate AI into your workflows. You've:

- Identified tasks suitable for delegation to AI.

- Built trust through successful small-scale integrations.

- Built systems that are optimized for your specific needs.


Once you've reached this stage, (and run through the funnel a few times) the process of identifying new tasks for AI delegation and optimizing existing workflows becomes intuitive.



Using an AI Delegation Funnel is where true workday maximization starts.
